6Asset IDs and labels Everyone
The ID every asset carries, and how to print it on a label with a QR code.
An asset has no name, so it carries an asset ID instead — something like BEN-BY66GW, short enough to write on a sticker or read out over the phone. It is shown at the top of the asset's panel and in the first column of the table; press it to copy it.
How an asset ID is made
The ID has two halves. The six characters after the dash are given out when the asset is saved and never change. The prefix comes from the asset's category — BEN for Bench, AST for an asset with no category — so when an asset moves to another category, its prefix changes with it.
That is why the six characters are the part that matters. The search box finds an asset by any part of its ID, so a label with an old prefix still finds it, and so does an ID written with a # in front. The characters leave out 0, O, 1, I, L and U, so none can be misread in handwriting.
Every asset also has a Ref, a plain number counted from 1 within your organisation. It is hidden in the table to begin with; switch it on under Columns if your old work orders quote it.
Printing labels
- For one asset, press the printer icon at the top of its panel. For many, an editor or administrator can tick them in the table and press Print labels… in the bar above it.
- Choose a size: A4, 24 per sheet, A4, 8 per sheet, or Label printer, which prints one label per page. For a label printer, pick your roll from the list of common Brother and Dymo sizes, or enter its width and height in millimetres.
- Press Print. In the print dialog, set margins to None and scale to 100%; for a label printer, also choose the printer and a paper size that matches the label.
Each label carries a QR code, the asset ID, the category, the address and your organisation's name. The size you chose last is remembered.
Scanning a label opens the asset. Point any phone's camera at the QR code and the asset opens on the map. Someone who isn't signed in is asked to sign in first and then taken straight to it, so the code shows nothing to anyone outside your organisation.
