Set up the asset types your municipality actually tracks — litter bins, benches, lamp posts, traffic signs, trees, play equipment, bus shelters, grit bins — each with its own colour on the map. Most authorities start from a handful and grow the list as departments come on board.
Beyond category, status and location, add the fields that matter to you: install date, material, serial number, last inspection, warranty end, supplier.
Every asset holds both coordinates and a real street address, looked up automatically when you place it, so a work order means something to whoever picks it up. Address lookup runs on our servers, not in the browser.
Every asset is active, in maintenance or retired. Retired assets stay in the register rather than disappearing from it, because what used to stand on a corner is part of the record too.
A register is only worth keeping if the answer to a question takes seconds.
Which lamp posts on the high street are in maintenance? Which benches were installed before 2015? Filter by text, category, status or any custom field you record, and combine as many conditions as the question needs.
Filters, columns and sort order all live in the address bar, so what you are looking at is something you can send to a colleague or bookmark for Monday. Open the link and you get exactly the same view of the register.
Give a view a name and it comes back in one click. Keep it to yourself, or — if you administer the organisation — share it with everyone, so “this winter's grit bin round” means the same thing to the whole team.
Switch from the map to a sortable table when you need to plan a maintenance round, review a category or hand a list to a contractor. Choose which columns you want and in what order — including your own custom fields — and the layout stays put between visits.
An asset register is a shared record, so it comes with the controls a shared record needs.
Administrators change the register and manage the team. Members see everything their organisation records and change none of it — the right default for a colleague who needs to look something up but shouldn't be editing it.
There is no public sign-up. An administrator invites a colleague by email, and the invitation expires after 72 hours, because a link that lets someone into your register shouldn't sit in an inbox for a year.
The map, the register and the edit form all work on a phone, so a crew can correct a record while standing in front of the asset instead of writing it on the back of something and typing it in later.
