2What your role allows Everyone
The four roles — viewer, field worker, editor and admin — and what each one can do.
Every account is a seat in exactly one organisation and holds one of four roles. Each role can do everything the one above it in this table can, and adds what its row says.

| Viewer | See every asset with its photos and history, search, filter, sort, choose columns, keep private saved views, export, print labels, and open the maintenance plans assigned to them. |
| Field worker | Record the condition of an asset already in the register — its status, description, fields and photos — and Mark as done the plans assigned to them. Where an asset is and which category it is in stay as they are, and they can delete only the photos they added themselves. |
| Editor | The register itself: add, move, recategorise and delete assets, change many at once, set up categories and asset fields, make and assign maintenance plans and see all of them, and share saved views with the team. |
| Admin | Invite and manage people, read the audit log, and look after API keys, single sign-on and the sign-in logo. |
Viewer suits a colleague who needs to look things up. Field worker is for the crews out on the street: they can report that a bench is broken and add a photo of it, but can't move it across town by mistake. Editor is for whoever keeps the register in order, and Admin for the one or two people who also look after the team and its settings. No role reaches another organisation's register or changes its limits. An administrator can change anyone's role later from Settings › People.
An organisation always keeps one administrator. The last admin can't be demoted or removed from Settings, so nobody can accidentally lock the whole team out of its own register.
